What is the best way(s) in tracking fuel/gas coupons that it is not used for the organization directly and being misused?

'Fuel is a very valuable commodity and many organisations face increasing challenges with theft. Fuel coupons are essentially the same as cash. Good fleet management practice and accurate vehicle operating data capture is increasingly more important. At a minimum, vehicle daily log sheets should be completed and fuelling noted. Your fleet / transport manager MUST analyse all vehicle log sheets at the end of each week and report any concerns to senior management for action. A suggestion would be to recognise and reward good performing drivers - ie. those who operate vehicles at the lowest cost per kilometre. There are more sophisticated methods of tracking vehicle data using black box technology and electronic log books, but this is only really appropriate when a large fleet is operated'.

Mishandling of organization fuel is not only from a particular section within an organization occurred in two fronts. Mutually, the driver and fuel/gas representative ought to link up to initiate the mishandling of fuel/gas been provided for organization operations.

I have an experience from Liberia for the period of my assignment with the UN mission early on 2004.Fuel signed for regularly by drivers were never consumed, i.e. even dour refueling of vehicles were been monitored but immediately after take off were little  emptied by the operator. Nevertheless, they were been signed for by the operator of the fleet in the presence of the fuel representative(s) .This is a complete network linking both fuel attendance and vehicle operator.

The best way out is to monitor the fuel log sheets and the mileage of the vehicle weekly considering the fuel consumption per distance covered @ and end.

Nice discussion about the fuel issue. In my opinion corruption can be done in numerous ways and peoples who are willing to do so, can do it in any tight system. Although the fuel card system is good at times but with the same kind of problem happend to me in Pakistan, where drivers and fuel pump operators mutually filling the drum rather than the vehicle. It leads to higher fuel consumption.

To minimize the fuel consumption and to have a bettr milage, drivers should be trained at Echo driving trainings. My experience showed me the better milage with the same driving techniques.

Hi Logisticians over there, thanks alot for the educative contributions, In Uganda where am working, Fuel theft is also a BIG problem in most of the organisations. Apart from usual tracking by Kms covered and amount taken we escort vehicles to the Pump stations, fuel and both the driver and Logistics or admin staff sign against what has been put in the tank. Swarping drivers every two months also helped even rewarding the best is a better option. Otherwise the Kms on the machine prints changes when the vehicle gets fuel from another source other than using the right card. Drivers at times swarp the cards for their own personal gains, end up going with a card at the pump station and do any transaction. Way forward is to visit the dealer at the Hqs, print the statement for each vehicle every end of the month, cross check with what is on ground to get the clear Info. Ensure all fuel Information is ENTERD in the vehicle log sheet and punish the driver who fails to do that. Atukunda Kagurutsi Paul Logistics/Security Coordinator Uganda
