Project Overview

Multi-sector relief and rehabilitation programme including: provision of primary and emergency health care, water and sanitation, and relief goods to assist in reducing morbidity and mortality in vulnerable populations of Southern Sudan.

 

Responsibilities

To provide warehousing and logistical support to Medair programmes operating out of Juba base, and to help ensure smooth base operations within Juba itself.

 

Key activity areas

 

Warehouse management

  • To ensure maximum accountability and transparency concerning non-monetary capital. (Goods and equipment).
  • Responsible for efficient receipt, distribution, storage, and accountability of all team supplies and materials in Juba. All goods handled are accounted for at all times through prescribed systems and documentation.
  • Ensure good storage conditions and storage requirements are met. Provide timely reports to the managers concerning the goods available to them.

Logistics management

  • Assist budget holders and procurement officers with submission of purchase requests and maintenance requests for warehouse facilities.
  • Initiate standard orders to maintain minimum staff health, Emergency Response Team (ERT) and team supplies stock levels, and submit these to the relevant budget holder. Provide the relevant documentation.
  • Coordinate the timely preparation of medicines and other necessary materials for ERT field trips.
  • Support general planning of ERT assessments and interventions.

Staff management

  • To build the capacity of the Juba base storekeeper and provide the Line manage the Juba store keeper, this includes day to day supervision and direction of the storekeeper.
  • Responsible for staff promotion, training, disciplinary action.

Coordinate cargo movement to and from Juba warehouses

  • Give input to the base/project managers for cargo movement in and out of Juba.
  • Organise transport in liaison with Base Manager to ensure timely delivery and shipping procedures are followed.
  • Prepare, send, track and file waybills for (transit) goods to be dispatched.
  • Receive, process and file waybill for received goods.

Security management

  • To ensure a safe working environment in the warehouse and on the loading sites.
  • Staff take necessary precautions to guard their safety and have the necessary means to do so.
  • Develop and maintain safety protocols for security and safety related events (such as fire).
  • Report security and safety related incidents or threats to the Security Focal Point.

Quality management

  • To endeavour to contribute towards the highest quality standards feasible within the context.

 

Qualifications

  • Certificate or Degree in logistics management desirable

 

Experience

  • 2 years of professional experience after training

  • Experience in working for an NGO
  • Experience in logistics process and budget management
  • Management experience
  • Experience in MSupply logs system desirable

 

Medair standard working requirements for the field

  • Minimum 12 months professional experience in a relevant field
  • Committed Christians and strong adherence to Medair values
  • Strong English communication skills (oral and written)
  • Familiar with Office Word, Excel, PowerPoint and Outlook
  • Able to live and work with a multicultural team under difficult conditions
  • Strong character traits, including emotional stability, adaptability, ability to handle stress, cultural and gender sensitivity, honesty
  • Single or married - without children, no dependent children
  • Successful completion of Medair’s Relief & Rehabilitation Orientation Course (ROC)

Working Conditions

The employee will be working and living in a location of relative insecurity in Southern Sudan.

The working week is 6 days with usually one day of rest.  Ease of accessibility can often mean interruptions outside of normal pattern of work. Living conditions are fairly basic. Team works on an eight weeks on, eight days off rotation basis. The position is based in Juba, Southern Sudan, with Nairobi as the R&R base. Flights are provided to Nairobi for R&Rs.
